How do I translate my survey into different languages? (Step 6)

Learn how to set up the translations module for your survey.


In the following article, you will learn how to set up a multi-lingual survey inside Climedo, with the possibility to translate survey forms into different languages that can be selected by your users during form fill-out.



Start the setup with navigating to step 6 "Translations" in the survey setup
To create a new language, click "add a new language"




Select the language and locale that you would like to create. In our case we choose Italian with the region Italy.

⭐ To search inside the dropdown, click inside the field and type the language name that you are looking for.






In the "Language display label" field you can edit the display of the language according to how you would like to show it to your survey users.
Save your configuration. 
To start with your translations, click on "1. Download template" to download the translation template which includes all display labels of the form elements to be translated.

⭐ The format your translations are downloaded in is .xlxs




The only column to be filled in the translation template is the "Target Translation" column. For the source translation, please refer to the "Source Translation [read only]" column which includes the original language.

⚠️ Translation of rich-text fields
If you wish to translate rich-text fields it is important that you transfer the html code to the "Target_Translation" column and only translate the text inside.

Source translation:

Target translation: 
<h3><strong>Rich text</strong></h3><p> Ausfüllrichtlinien oder ein anderer erläuternder Text</p>




After you have added all translations to the excel sheet, you can upload the sheet for the respective target language that you have created the translations for by clicking on "upload translation"
If your translations are ready to be shown to end users (subjects, investigators, etc.), you can enable the language using the toggle next to the bin icon. Please be aware that as soon as you enable a language, it will be shown in the ePRO / eCRF forms.





⭐ Only the forms that are added to the workflow are also included in the translations export file. The same applies for validations, only active validations are exported.






Update or download of existing translations






To download and/or update existing translations, click the "Download filled translation" button inside the translation module and update the translations inside the "Target_Translation" column of the translation file

⭐ If an amendment to a display label was made that was previously already translated, the "Translation_Status" column in the translation export will indicate the respective rows that might need an update with the status "needs confirmation"
After you have updated all translations in the translation file, you can upload and replace the changed translations by clicking on "Replace translation". 
Do not forget to save your changes.




Deleting a translation



To delete a translation, click the bin icon. 
⭐ Please note that the translation cannot be restored inside the system after deletion. Therefore, we recommend to first download the translated sheet from Climedo and to store it safely in order to be able to reuse the translations. 







⭐ In Survey Setup Step 1 you can see find list of all secondary languages (translations) that have been setup for your survey.

Primary language = Original language in which the survey was setup in
Secondary language = Translations of the original language

 



⭐ For survey users, the system will automatically show the form in their default browser language, if that language is available for your survey. In case the users browser language cannot be provided, the system will fall back to the primary survey language that can be set up in survey setup step 1. 





Scheduled Events Export


- The form and field display labels in the scheduled events export will be exported in the studies primary language only and cannot be switched to different languages. The same applies to option labels.


- Only free text fields will be exported in the respective language that the user has filled them with (no automated translation to the primary language).


- Export labels remain independent of the selected language.
