Amendment – Input Field

Learn how to proceed with an amendment for an input field.



⚠️  Please note: Amendments can only be implemented in the sandbox environment. Please read the following article first: Sandbox Environment - Updating Active Studies and Surveys



1. Entire Input Field


Delete:

If there is already subject data entered into the system and you want to delete a whole input field then you need to take the following into consideration: First, the data which has been entered into this input field will be deleted. Second, the progress bar in your subject overview will adapt accordingly. 


Example: If you have ten required input fields in your input form and the subject has filled out four of them, the progress bar will show you 40%. If you delete one input field which has not been filled out yet, you have four input fields out of nine which will be displayed as a progress of 44% afterwards.



⚠️  To prevent data loss, we highly recommend talking to your responsible Customer Success Manager prior to this action!


Add:

There won't be any data loss but the progress bar will adapt to the new situation automatically.



2. Display Label of Input Field


Change:

Changing the display label needs special attention if the input field is used in workflow dependencies. These dependencies are linked together through their display label.


You will receive the following warning if you want to change the display label:



First, you have to delete the dependency in the workflow, then change the display label and set up the dependency again with the new display label.


Here's how to proceed in detail:


You will get this warning:


  1. Go to your workflow in Step 4 and delete the corresponding dependency.
  2. Go to the Input Form in Step 3 and change the the desired display label of the input field.
  3. Go back to the workflow in Step 4 and set up the dependency again using the new display label.
  4. Don't forget to publish your change. Please refer to the sandbox article: Sandbox Environment - Updating Active Studies and Surveys




3. Required/Optional


Change:

⭐ Reminder: The progress bar in your study overview shows you the progress of required fields. If there are no required fields, it refers to the optional fields.

  • From optional to required: For example, if five out of ten fields are filled out and all of them are optional, the progress will show you 50%. If you change one of the filled questions to required, the progress will be 100%. If you change one of the not yet filled out questions to required, the progress will show you 0%.
  • From required to optional: Same procedure applies to this change. The progress bar will adapt to the new situation.




4. Input Field Answer Option (for Single Choice, Multiple Choice, Slider, Dropdown)


Add:

If you add one more answer option to an already existing field (e.g. field: "How are you feeling today?" – new answer option: "very well"), this will not have any consequences. Just take into consideration that the field is added to the form for all subjects (new ones and pre-existing ones).


Change:

If, for example, your answer option was “yes” and you change it to “yes, I do”, then the value will adapt automatically for all subjects that already have been enrolled and selected “yes”. So this also has an impact on already entered data.


Delete:

If you delete an answer option, then you will also delete all the pre-entered data for this value.

5. Field Validation


Add/Change/Delete:

  • Success/Warning Validations: Subsequent set validations are also triggered for existing data because validations are re-calculated whenever a user opens an Input Form (not when a user edits/saves an Input Form)
  • Error Validation: As above, subsequent set validations are also triggered for existing data entries. Triggered error validations prohibit the user from saving newly entered data. However, if the validation is set up afterwards, any pre-existing and invalid data will be still saved and an error message will be displayed. If the user updates and re-saves the form, the known logic applies and invalid data will be removed from the database.



6. Field Format Rule 


Add/Change/Delete:

If a field format rule is being changed, added or deleted from an active study, the following behvior can be expected: 

  • The the data in the amended input field will not be affected by a change of the field format rule, even if the entered field input does no longer meet the formatting rule. 
  • Only if the data inside the input field is being altered to a format that does no longer meet the field format rule, it will no longer be possible to save the previously entered field value. In this case we recommend to revert the changes or enter a field value that meets the field format
